At Houston Methodist, the Residency Program Manager position is responsible for comprehensive program management, including coordinating work and administrative support. This position will serve as administrative leader for one or more Graduate Medical Education (GME) programs in partnership with the Program Director and department administrator in operational and financial management of the program(s). The Residency Program Manager position will execute strategies while managing relationships internally with hospital leadership, program leadership, and GME Trainees. This position will develop, initiate and/or direct a wide range of programmatic activities including long- and short-term program planning, project development and management, recruiting logistics. The Residency Program Manager position works independently and collaboratively to proactively identify problems and creative solutions to address requirements. The position is essential in training program operations and is a primary resource for learners, faculty and administrative staff. The Residency Program Manager position is a requirement of the accrediting agency, the Accreditation Council for Graduate Medical Education (ACGME) and may also serve as a resource for office staff members.

Requirements:

PEOPLE ESSENTIAL FUNCTIONS
  • Works creatively and analytically in a problem-solving environment fostering teamwork, innovation, and excellence. Actively leads program meetings, providing meaningful contributions that drive decision-making and clearly identifies next steps. Works cross-departmentally to achieve innovative and actionable outcomes.
  • Leads program strategies with key stakeholders and others to ensure department timelines, deliverables, and budgets are met. Serves as a primary resource/subject matter expert and a key liaison to councils and professional groups. Supports the due process for resident probation and termination procedures. Gathers appropriate documentation and ensures accuracy for review by Adverse Academic Action subcommittee.
  • Monitors trainee and support staff morale and makes recommendations to program director. Recommends opportunities for improvement of department/program score for employee engagement.

SERVICE ESSENTIAL FUNCTIONS
  • Collaborates with colleagues, peers, and other stakeholders to improve the effectiveness and efficiency of programs. Regularly communicates with stakeholders to arrange meetings, confirm program schedules and discuss any program problems, ensuring that customers/clients are regularly informed on the status. Communicates with faculty, fellows, and residents, regarding action plans, program aims, programs trends, and compliance needs.
  • Partners with management to evaluate the implementation and effectiveness of the assigned program, monitors progress and achievement of objectives and identifies corrective actions as indicated. Participates in Program Evaluation Committee (PEC) and assists with development of action plans.
  • Develops and organizes department-level orientation for incoming trainees and support staff; presents computer training on residency management system and programs policies and procedures. Prepares and updates resident handbook and other orientation materials as needed.
  • Manages internal and external program relations.

QUALITY/SAFETY ESSENTIAL FUNCTIONS
  • Implements plans for launching programmatic elements within the focus area, providing support in planning and organizing cross-functional unit activities and committees. Operationalizes strategic plans and ensures the success of programs and/or assigned sponsorships/events.
  • Participates in internal committees and task forces as assigned, ensuring that critical objectives are clearly explained, and action items are appropriately delegated.
  • Develops and updates program-level policies, creates and implements dashboards to track program metrics and trends to support program aims. Informs stakeholders as appropriate.

FINANCE ESSENTIAL FUNCTIONS
  • Assists in creating a program budget. Manages any changes that may create a variance in initial budget submission. Effectively manages the scope, schedule, and budget of program.
  • Monitors program operation allocations and expenses and makes recommendations to program director as needed. Forecasts potential schedule delays and develops alternate plans.

GROWTH/INNOVATION ESSENTIAL FUNCTIONS
  • Serves as part of an interprofessional team that creates and executes mission-driven events. Proactively and independently problem solves when challenges present themselves.
  • Assists in leading the development of outreach and communications strategies and plans, including assessing needs and opportunities and developing strategies and implementation plans relating to all external outreach, marketing, and communications within the scope of the role.
  • Stays up-to-date with requirements and changes within assigned specialty, applies that information to daily work routines. Shares learnings with team members. Completes and updates the My Development plan on an ongoing basis. Ensures own career discussions occur with appropriate management.

Qualifications:

EDUCATION
  • Bachelor's degree

WORK EXPERIENCE
  • Five years of GME experience in a program coordinator or program management role
  • Administrative support experience to include project coordination or project management
